Equestrian Destinations (“ED”, “we”, “us”) is committed to being transparent about the information we collect and how we use it. This Privacy Policy applies to everyone who interacts with ED, whether you are a traveler exploring destinations on our website or a Partner whose listing appears on our platform. We do not sell personal information. We collect only what we need to operate the platform and serve you well.

1. Who this policy covers

Travelers and riders. Anyone who visits equestriandestinations.com, browses destination listings, signs up for our newsletter, or otherwise engages with ED’s website or social media content.

Partners. Equestrian destinations, guest ranches, riding tour operators, and other businesses that have entered into a partnership agreement with ED and are listed on the platform.

2. Information we collect

From travelers and riders

We collect the following when you interact with our website or communications:

  • Browsing data. Pages visited, time on site, referring URLs, and device and browser type, collected automatically through cookies and analytics tools.
  • Email address. If you subscribe to our newsletter or contact us directly.
  • Inquiry details. When you ask us to connect you with a destination, the information you provide for that purpose, such as your name, contact details, travel dates, group size, and riding preferences.
  • Communications. Messages you send us by email or social media, including any personal details you choose to share.
  • Social engagement. Likes, shares, comments, and follows on our social media channels, subject to each platform’s own privacy policy.

We do not collect payment information from travelers. All bookings are made directly with Partners, and ED is not involved in that transaction.

From Partners

We collect the following in connection with the partnership agreement and the delivery of services:

  • Business contact information. Name, title, email address, phone number, and business address.
  • Payment information. Credit or debit card details for processing the annual partnership fee, held securely by our payment processor. We do not store full card numbers.
  • Listing content. Photographs, videos, written descriptions, logos, and other materials provided for promotional use.
  • Correspondence. Emails, quotes, and other written communications related to the partnership.
  • Usage data. Engagement and traffic data associated with your listing, if analytics services are included in your package.

3. How we use your information

Travelers and riders

  • To operate and improve the website and its content.
  • To send newsletters or editorial updates, if you have opted in. You can unsubscribe at any time.
  • To respond to your inquiries or messages.
  • To connect you with relevant Partners and forward the details of your inquiry so they can respond to you directly.
  • To understand how our audience engages with content, using aggregated and anonymized analytics.

We do not use traveler data to build individual profiles for sale or advertising.

Partners

  • To deliver the promotional services described in your Quote and our Partner Terms and Conditions.
  • To process annual fees and manage recurring billing.
  • To communicate about your listing, renewal dates, and any changes to our platform or Terms.
  • To generate and share listing performance analytics, where included in your package.
  • To comply with applicable legal obligations.

Legal bases (EEA and UK)

If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases to process your personal data: your consent, for newsletters and non-essential cookies; performance of a contract, to deliver Partner services and process fees; our legitimate interests, to operate, secure, and improve the platform, to connect you with Partners when you ask us to, and to understand how our audience engages with it; and compliance with a legal obligation, such as tax and record-keeping laws. Where we rely on consent, you can withdraw it at any time.

4. Cookies and tracking technologies

Our website uses cookies and similar technologies to understand how visitors use the site and to improve their experience. This may include:

  • Essential cookies required for the site to function.
  • Analytics cookies, such as Google Analytics, that collect anonymized usage data.
  • Social media embed and sharing tools that may set their own cookies.

You can control cookie preferences through your browser settings. Disabling certain cookies may affect how parts of the site work. We do not use cookies to serve behavioral advertising.

5. How we share information

We do not sell, rent, or trade personal information. We share information only in the following limited circumstances:

  • Service providers. We use third-party tools for payment processing, email delivery, website hosting, and analytics. These providers access information only as needed to perform services on our behalf and are required to protect it.
  • Partners. When you submit an inquiry or ask us to connect you with a destination, we forward the details you provide, such as your name, contact details, and trip preferences, to the relevant Partner or Partners so they can respond to you directly. Once forwarded, your information is also subject to that Partner’s own privacy policy. We do not share traveler contact information with Partners for their own marketing, and we do not share it for any purpose other than responding to your inquiry. If you instead click a booking link on our site, you are redirected to the Partner’s own platform, and any information you share there is subject to the Partner’s privacy policy.
  • Legal compliance. We may disclose information if required to do so by law, court order, or governmental authority, or to protect the rights, property, or safety of ED, our Partners, or the public.
  • Business transfer. If ED is acquired or merged, or its assets are transferred, Partner and traveler information may be transferred as part of that transaction. We will notify affected parties in advance where practicable.

6. Data retention

Travelers and riders

Newsletter subscriber data is retained until you unsubscribe. Website analytics data is retained in aggregated, anonymized form. Direct correspondence is retained for up to three years from the date of last contact.

Partners

Partner contact, billing, and correspondence records are retained for seven years following the end of the partnership, consistent with standard business and tax record-keeping requirements. Listing content is removed from the website within thirty days of the end of the partnership, subject to the carve-out for previously published social media posts described in the Partner Terms and Conditions.

7. Your rights

Depending on your location, you may have certain rights regarding your personal information, including the right to:

  • access the personal information ED holds about you;
  • request correction of inaccurate information;
  • request deletion of your information, subject to legal retention requirements;
  • withdraw consent to email communications at any time by using the unsubscribe link in any email or by contacting us directly; and
  • for individuals in the European Economic Area, the UK, or California, additional rights may apply under the GDPR, UK GDPR, or California Consumer Privacy Act (CCPA, as amended by the CPRA), including the right to data portability and the right to object to processing.

If you are in the EEA or the UK, you also have the right to lodge a complaint with your local supervisory authority, such as the CNIL in France or the Information Commissioner’s Office in the UK. If you are in California, you have the right not to be discriminated against for exercising your privacy rights.

To exercise any of these rights, please use the contact details on the Site. We will respond within thirty days.

8. International users

ED is operated from Washington, D.C., in the United States. If you are accessing our platform from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from those in your own country. Our Partners are located in many different countries, so when we forward your inquiry to a Partner, your information may be transferred to the country where that Partner operates. Where required by applicable law, such as the GDPR, we put appropriate safeguards in place for cross-border transfers, including Standard Contractual Clauses.

9. Security

We take reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. Payment information is processed through industry-standard encrypted payment processors, and we do not store full card numbers. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

10. Third-party platforms and links

Our website and social media channels contain links to Partner websites and other third-party platforms. This Privacy Policy does not apply to those external sites. We encourage you to review the privacy policy of any third-party site you visit. ED is not responsible for the privacy practices of Partner websites or social media platforms.

11. Children

Our platform is not directed at children under the age of 13, or the minimum age required in your country, and we do not knowingly collect their personal information. If we become aware that we have collected information from a child below that age, we will delete it promptly.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on our website with a revised date. Your continued use of the platform after changes take effect means you accept the updated policy. Material changes will be flagged clearly on the website for thirty days.
